- Echo District – Terms and Conditions
Effective Date: August 1, 2025
- These Terms and Conditions (“Agreement”) govern all services provided by Echo District LLC, a Long Island-based event production company (“Echo District,” “Company,” “we,” “us”), to the client (“Client,” “you,” or “your”). By booking any services, the Client agrees to the terms outlined below.
1. Services Provided
- Echo District offers premium event production services including:
- DJ and MC Services
- Event Photography
- Photo Booth Rentals
- Event Décor and Lighting
- Event Planning and Coordination
- All services are subject to availability and are not guaranteed until a signed contract and deposit are received.
2. Booking & Payment Terms
- A non-refundable deposit of 30% of the total contract amount is required to secure the event date.
- The remaining balance is due no later than 7 days before the event date.
- Accepted payment methods: credit/debit card, PayPal, Zelle, bank transfer, or cash.
- Late payments may result in service cancellation and forfeiture of the deposit.
3. Cancellation Policy
- Cancellations 30+ days before the event: Deposit is forfeited; no additional fees.
- Cancellations 8–29 days before the event: 50% of total fee due.
- Cancellations within 7 days of the event: 100% of the total balance is due.
- No refunds for services unused or voluntarily declined on the event day.
4. Service Modifications
- All changes must be requested in writing and approved by the Company.
- Changes made less than 7 days before the event are subject to additional charges and availability.
5. Event Access & Setup
- Client must provide venue access at least 2 hours prior to event start time for setup.
- Adequate power supply, parking, and loading access must be available.
- Echo District is not liable for delays or incomplete setup caused by restricted access.
6. Client Responsibilities
- Client must communicate all venue rules, restrictions, and permit requirements.
- Client must ensure a safe environment for Echo District staff. Disrespectful or unsafe conduct may result in immediate service termination with no refund.
- For outdoor events, Client must provide proper weather protection (e.g., tents for equipment).
7. Photography & Marketing Use
- Echo District may use event images or video footage for marketing unless the Client opts out in writing prior to the event.
- All photographs and videos remain the intellectual property of Echo District unless otherwise agreed in writing.
8. Liability & Damages
- Client is financially responsible for any damage to equipment caused by guests, venue staff, or negligence.
- Echo District is not liable for service interruptions due to power failure, inclement weather, or venue restrictions.
- In cases of technical failure caused by the Company, a partial refund may be issued proportional to the affected service.
9. Photo Booth & Props Policy
- Client is responsible for maintaining respectful guest behavior around the photo booth.
- Lost or damaged props will be billed to the Client at replacement value.
- If power or internet is unavailable at the venue, limited booth functions may apply.
10. Overtime Charges
- Overtime must be approved on-site by the Client and is subject to staff availability.
- Overtime Rates:
- DJ: $150/hour
- Photographer: $100/hour
- Photo Booth Attendant: $75/hour
- Overtime must be paid before additional service continues.
11. Force Majeure
- Echo District shall not be liable for failure to perform due to causes beyond its control, including but not limited to natural disasters, power outages, acts of God, labor strikes, government restrictions, or public health emergencies. In such cases, services may be rescheduled within 12 months, subject to availability.
12. Insurance
- Echo District carries general liability insurance. Certificates of Insurance (COI) can be provided upon request for venues or event planners.
13. Dispute Resolution
- Any disputes shall first be addressed through mediation.
- This Agreement is governed by the laws of the State of New York.
- Jurisdiction for any legal proceedings shall be Suffolk County, NY.
14. Entire Agreement
- This Agreement, along with the signed service contract and invoice, represents the entire understanding between Echo District and the Client. No verbal or prior written agreements shall supersede this document unless signed by both parties.
- By submitting a deposit and/or signing the service contract, the Client confirms agreement to all terms outlined in this document.
